NTPEP and APEL Administrative Coordinator

The American Association of State Highway and Transportation Officials ( is currently hiring an Administrative Coordinator to work within their Engineering Department, a position located in Washington, DC.

Nature of Position:
Reporting to the NTPEP Program Manager, the Administrative Coordinator provides administrative support, database management and website maintenance to the AASHTO Product Evaluation Listing (APEL) and the National Transportation Product Evaluation Program (NTPEP) programs.

The Administrative Coordinator performs a variety of administrative duties to support the NTPEP and APEL programs. The incumbent reviews NTPEP payments and invoices for products submitted for evaluation, and contacts manufacturers with outstanding invoices to follow-up on payment status as needed. The incumbent also assists with routine business processes associated with APEL manufacturers’ applications which include contact with members of the APEL oversight committee and coordination of responses to the manufacturer and third party test facilities through the online APEL database. The incumbent is responsible for the coordination of committee business, including maintaining web sites; creating, distributing and tracking membership surveys; assisting with logistics and web pages; processing travel reimbursement claims; filing and distributing product/project information and additional duties as directed.

As administrator of the designated membership database, the Administrative Coordinator builds organizational profiles, adds individual members, and maintains a variety of committee membership and subscriber lists, including managing the members-only portal websites and voting privileges. The incumbent also coordinates with staff and Association members to ensure information recorded is accurate and up-to-date.

Position Requirements:
Successful candidates must have a minimum of two years experience working in an administrative role in a technical environment requiring database management and web page maintenance. A Bachelor degree or equivalent combination of education and experience required. Course work in web content maintenance and development desired.

This position also requires excellent written and oral communications skills; strong planning and organizational skills; and proficiency with Microsoft Office Suite. Ability to organize survey responses into presentable report documents with minimal supervision is necessary. Experience with content management systems, specifically SharePoint, and familiarity with contract administration and financial reporting is highly desirable. Ability to learn and comprehend engineering related technical terminology required.
